Project Literacy is Hiring an Office Administrator

About Project Literacy
Project Literacy Central Okanagan Society provides literacy tutoring for immigrants, vulnerable families, adults, children, and seniors. Over 150 volunteers contribute to tutoring adults in English and Math. Over the past 34 years, we have helped people improve their literacy skills and quality of life. We operate primarily out of our Learning Centre, located at 1635 Bertram Street, Kelowna. We also provide literacy support programs in West Kelowna and Lake Country.

Position:  Office Administrator (30 hours a week)

Job Summary
The Office Administrator is responsible for bookkeeping, administrative and reception duties, event coordination, managing social media, and providing support to the Executive Director.
Specific responsibilities include:

Administration and Reception

  • Welcoming people to the Learning Centre
  • Assist Education Coordinators in the preparation of learning resources
  • Maintain up-to-date digital and paper files
  • Respond to emails and phone calls
  • Perform general clerical and computer duties

Bookkeeping

  • Monthly bank reconciliation
  • Monthly visa reconciliation
  • Prepare cheques for signing
  • Bank deposits
  • Weekly entries into QuickBooks

Basic Graphic Design

  • Create posters, brochures and fillable PDFs
  • Updates to website

Social Media

  • Managing social media platforms, including Facebook, Instagram, Twitter, LinkedIn
  • Coordinate video meetings and conferencing

Event Coordination

  • Coordination of various fundraising and networking events
  • Register participants in our programs
  • Coordinate meetings and workshops (online and in-person)
  • Coordinate with suppliers and venues
  • Some local travel required

Qualifications

  • Bachelor Degree in any field of study
  • Four or more years of office and administrative experience
  • Ability to work with Adobe InDesign, WordPress and other creative software systems
  • Two years or more experience with in-person meeting and event coordination
  • Experience coordinating online meetings and workshops
  • Experience with video conferencing platforms, including Whereby
  • Ability to communicate effectively with people from different cultures and backgrounds
  • Superior writing, email, and verbal communication skills
  • Strong problem-solving skills
  • Strong organizational skills
  • Highly motivated with the ability to meet multiple deadlines in a fast-paced environment
  • Strong computer skills (all MS Office products a must)
  • Ability to work independently and as part of a team
  • Goal orientated, strong ownership of work performed
  • Computer software and database management skills
  • Driver’s license and own transportation
